Once a race group type is created, as is explained in “How to Set up Race Groups”, then you will be able to set up special pricing rates for each particular group type. This section will explain how to set up Member Registration Fees, Group Setup Fees, and/or Prepaid Registration Packages.


There are four elements to Group/Team Pricing which can be used in conjunction with each other, or separately on their own.Be aware that Group Pricing is set up for each Group Type that you have individually, so you will need to set up Group Pricing for each Group Type that you have available if you would like Group Pricing to apply towards all Group Types.



Member Registration Fees

Member Registration Fees allow you as the Race Director to define the pricing for each Group Member based on how many Members are already a part of the Group at the time of registration.



Pricing Start and End Dates

You will first need to define a date and time range in which this Pricing will override your Standard Event pricing set in Race > Registration > Dates, Pricing & Options.



Applicable Events

Next select which Events in your Race this pricing will be applicable towards.



Group Member Pricing

Set the cost each Member will pay based on the number of Group Members. For example, if you set the minimum number of members to 5, the pricing will take effect once the team size exceeds 5 members.Similarly, event pricing starting at a minimum number of zero group members will apply to the first person to register with the specified group pricing.


Minimum Number of Group Members

The Minimum Number of Group Members is a value that represents the current size of the Group.By default this value is 0 meaning that the price you are adding for this row will be applied to all Members, because the Group Size will surpass 0 with the next registration.



Cost Per Member

The Event Cost field defines what you want to charge the members who you are charging the Members defined by the Minimum Number of Group Members field. 


Details

The Details field will describe what Members the Minimum Number of Group Members is selecting for this Price.The Members described here will be charged whatever Event Cost you have defined in the previous column.


Add Another Price

If you add a another price by using the green button below this table with the same name you will be able to define multiple prices based on different Minimum Number of Group Members”. 


Here are three examples of how you may use these settings to for different purposes. 


1. The first Member to register pays $100, and the rest of the Members are free.



2. The Pricing gets cheaper for each subsequent Member to register.  In this scenario the first Member pays $50, the next $30, the next $10, the next $5, the next $1 and all thereafter pay $1 as well. 



3. The first four Members pay $25 each, then any subsequent Members are free



Registration Fee Refunds by Group Size

RunSignUp allows Race Directors to issue refunds to Groups who reach a Member limit that they define. Use the Add a Refund button to get started, which will open up a settings menu.

After registrant # ___ registers

This value is referencing the Group Member number, not the overall Event registrant number. If you enter 5 here, the first 4 registrants will receive the refund.

Give Refund to Participants in the Following Events

You can select which Events these Refunds should be applicable towards. 



Refund Previous Registrants

This is the amount that you would like to refund to existing registrants when the Group Size exceeds what you have defined in After registrant # ___ registers.



Ensure Registration Balance ≥

Ensure that the remaining creditable amount of a registration after the refund is this much. This is useful to not discount too much if the original registration used a coupon or some other discount. The creditable amount does not include the original processing fee paid by the registrant. Note that extra giveaway costs, add-on purchases, etc. are included in the creditable amount. If a registration purchased $15 in add-ons and you set this field to $10, you could potentially refund $5 worth of add-ons.


Group Setup Fee

RunSignUp allows Race Directors to charge Groups a one-time Group Setup Fee in addition to standard pricing that is charged to the user who creates a Group. This can be used in combination with other Group/Team Pricing options.



Pricing Start and End Dates

You will first need to define a date and time range in which this Setup Fee will be charged to any users creating a Group/Team. 


Setup Fee

This is where you will define your one-time Group Setup Fee which is charged to the first Member of each Group that is created of this Group Type.



Prepaid Registration Packages

You can set up prepaid registration packages for groups. These packages will be available for purchase by existing Group Members from the Group/Team page. When a Pre-Paid Package is purchased it will let the next number of registrants join for free as defined by the Number of Registrations in Any Event field.

Package Name

This is the name that will be displayed to Participants purchasing a Prepaid Registration Package.



Pricing Start and End Dates

You can set up prepaid registration packages for groups. These packages will be available for purchase by existing Group Members from the Group/Team page. When a Pre-Paid Package is purchased it will let the next number of registrants join for free as defined by the Number of Registrations in Any Event field.



Package Cost

This is the cost that you would like to set for a single Prepaid Package. Be aware that a Prepaid Package can include multiple entries, but this is the cost for the entire Package, not for each individual entry in a Package.



Package Availability

By default all packages will be available to be purchased by all current Group Members and Group Administrators. Alternatively you can use this option to only allow you as the Race Director, or others with administrative rights for your Race, to apply Prepaid Registration Packages to Groups. If this option is checked neither Group Members or Administrators will be able to purchase packages, and the Package Cost field will disappear from the setup page.



Included in Group Setup

You can use this option to change the way that Prepaid Packages function. With this option checked all new Groups will include this Prepaid Package for free. 



Number of Registrations in Any Event

This field is used to define how many registrations will be included in this Package. 



Additional Number of Registrations per Event

In addition to the Number of Registrations in Any Event you can set additional registrations per Event here.



Saving Group Pricing

To save any changes made to the group pricing section, simply scroll down to the bottom of the page and click Save Pricing.
