Member Number Settings


When someone registers for a new membership or renews a membership, they receive a new membership ID. Member Numbers allow Membership Organizations to use specific member numbers that do not change each year and will transfer over to renewed memberships. We have given a ton of options, as there seem to be a lot of different ways each organization wants to administer their member numbers. Combined with some report restructuring and the new look and feel of the Membership Director Dashboard, this is a crucial component of memberships.

Assigning Member Numbers to New and Renewing Members

  • Automated settings that RunSignup provides as members join the organization. You can set the character length on all of these.
    • Sequential numbers (1001, 1002, 1003)
    • Random numbers
    • Random alphabetical characters (no vowels)
    • Random alpha-numeric
  • Custom Pool of Member Numbers that you can upload into the system and we will assign as new members join.
  • Assign numbers to existing members automatically. 


Here is an example using sequential numbers starting at 1004 with a member number length of 6:

Note: existing members are not automatically assigned numbers, we will cover how to assign them below.


Membership Purchases and Individual Members Report


The Membership Purchases and Individual Members reports have been updated with this new information. Here is the new Individual Members Report:

Existing Member Assignment


To assign existing members a unique number, use the Import tool or click on each membership and edit individually. 

The individual edit is done from the membership purchases report by clicking the Manage button under the Membership ID (left column in the above reports), clicking the Edit Membership button, clicking the Edit Membership button, and then clicking Edit Members:



The Import tool is useful for bulk entry. To access it, go to Memberships >> Member Number Settings >> Import Numbers in your dashboard. You will need the Membership ID and User ID, and then you will enter your own unique Member Number in a CSV file.


The simplest way to get those numbers is to go to the Individual Members Report and download it as a CSV file. It will look like this, once you fill in Column C with the Member Number:




Import that CSV file by mapping the fields in RunSignup to the columns in the file and all of the member numbers will be assigned. 




Advanced Member Number Assignment


If you have your own method of creating new member codes, you can also add them in the "Custom Pool."


You will enter one member number per line and click Save at the bottom.


Once saved, they will be automatically added and assigned in the order you entered them. We will also automatically notify you when you are running short of codes to be assigned. The Warning Threshold number may be customized. 



On that same page, you can also clear the member number pool with the red Clear Pool button. You will be asked to confirm the action before the removal is completed.


Summary


The key benefit of the Member Number settings is that members are able to keep their member number year-after-year. For organizations that are transitioning to RunSignup's Membership platform, this allows preservation of existing member numbers.
