As the Race Director for your Race, you are able to issue full or partial refunds to your participants.


1)  Enter the participant name using the Search by Name toolbar located on the top right of your Race Dashboard. Alternatively, you can search for the participant via Participants -> Participant Management -> Search Participants.



2)  Click on the "Manage" button for the Participant you would like to issue a refund.


3)  On this page, you can view the Participant information as well as perform a list of options including Editing Participant Info, Issue a Refund, Transfers, etc.


Important: You must have funds in the Refund Reserve in order to issue a Refund. By default, if you have refunds or transfers turned on for your Race, RunSignUp will keep some of the race funds in Refund Reserve to pay for potential refunds until the race is completed.

Note: Refund incurs a $1 Refund Processing Fee per participant who is refunded online. This means that you must plan to have more in your Refund Reserve than the original Amount Paid for each participant that you are refunding.


Explanation of Refund and Processing Fees



Runner Paid - The full amount (including processing fees) that the participant paid for his/her registration.


Initial RunSignUp Processing Fee Paid By User - The processing fee amount that was paid by the participant.

Initial RunSignUp Processing Fee Paid By Race - The processing fee amount that was paid by the Race.


RunSignUp Refund Processing Fee - There is a $1.00 refund fee for each participant who is refunded online.


Total Refund Amount - This present amount equates to the (Runner Paid - [Processing Fee + Refund Fee])

Note: You are able to specify a different Total Refund Amount by entering a new Total Refund Amount. For example, if you would like to issue a fullrefund to the participant, you would enter $27.50 on this field. If you would like to issue a partial refund to the participant, you would enter any amount > $0 ≤ $27.50.


Race Net Profits (Including Race Refund Fee) - An amount of $0 means that there will be no impact to your net profits if the refund issued is $24 (as shown in the example above). Thereby, any negative amounts will affect your Race's overall net profits.


Remove Registrant from Event



When issuing refunds, you are able to choose whether you would like the participant to be removed from the event or not. Use case for this is where Race Directors decides to issue a partial refund for participant but intends for the participant to run the Race.


However, If the box is unchecked after the refund is issued, then recipient of the refund will still remain registered for the specified event.


When you have everything filled out correctly, click on the button for Issue Refund, and a confirmation message will let you know that the transaction has been completed. The recipient will receive an email notification of their refund and whether they were removed from the event or not.
